Bulk Wedding Camera Ordering Checklist for Planners

Prepare a bulk custom wedding camera inquiry with quantities by design, event dates, samples, delivery batches, reorder references, and a local film developing plan.

Start with an order brief

If you are buying disposable film cameras for several weddings or planning a larger order, organize the requirements by design and event before requesting a quote. A total camera count alone does not explain when each group is needed or which artwork belongs to it.

This checklist is for wedding planners and event teams considering 200–1,000 cameras or more. Those ranges are a purchasing focus, not a published minimum order quantity. Hayamou confirms minimum quantities, pricing, configuration, availability, and delivery for each project.

Use the sections below to prepare your inquiry. You can start the conversation before every detail is final; mark undecided requirements clearly.

1. List quantities by design and occasion

For each proposed design, note:

  • A short design or event reference that your team can recognize.
  • The estimated number of cameras.
  • The wedding or event date.
  • The delivery country or region and your required arrival date.
  • Whether the design is new or repeats an approved order.

Separate camera quantity from guest count. Decide whether cameras will be shared on tables, placed in welcome bags, or given to individual guests before estimating your requirement.

If a design will be used across several events, include that context. Different artwork versions should be listed separately. Do not assume quantities across designs can be combined to meet a minimum quantity or receive the same pricing.

2. Define the camera and customization

Specify what you know about the camera, film, and presentation:

  • Camera model and whether you need a flash configuration.
  • Preferred film type and number of exposures.
  • Body stickers, logo printing, and camera color preferences.
  • Packaging design and any requested printed instructions.
  • Finished artwork you can provide, or the design assistance you need.

Ask for the artwork requirements for the selected model before finalizing dimensions. Keep controls, the lens, flash, and viewfinder clear in your layout.

3. Decide what a sample should demonstrate

Hayamou supports purchases of existing product samples and paid custom samples. Choose the sample request around the decision you need to make.

An existing product sample can help you assess the selected camera. A paid custom sample can be requested to review an agreed custom configuration, such as artwork or packaging. Tell us exactly which details you want represented.

Confirm these points before arranging the sample:

  • The camera, film configuration, artwork, and packaging it will include.
  • Which details will differ from the proposed bulk order.
  • Sample availability, costs, and shipping arrangements.
  • Your review needs and the event dates that the final order must support.

A standard sample does not approve custom artwork that has not yet been produced. Sample fees and timing are confirmed individually; they are not automatically free or credited against a future order.

4. Outline any proposed delivery batches

If your order needs to support several occasions, phased delivery can be discussed. For each proposed batch, provide the quantity, destination, event date, and required arrival date.

Distinguish your event date from the date you need the cameras in hand. Your team may need time to inspect, pack, and distribute them before the celebration. Explain that requirement rather than treating the event date as the shipping deadline.

Production schedules, shipping arrangements, and costs must be agreed in the quotation. A phased delivery request does not automatically include storage, multiple-address shipping, or unchanged shipping fees. Avoid promising a date to your client until the arrangement is confirmed.

5. Identify approved artwork for repeat orders

Returning customers can reuse an approved design for a new order. Include:

  • The previous order reference or enough information to identify the design.
  • Whether you want the same artwork or an updated version.
  • Any changes to camera configuration, film, exposures, or packaging.
  • The new quantities, destination, and required dates.

Treat changes to names, dates, logos, and colors as changes that need review. Reusing a design does not automatically carry over the previous price, product availability, or delivery schedule.

6. Arrange local developing and scanning

Hayamou supplies cameras and customization; it does not provide film developing or scanning. Customers arrange these services with a suitable local photo lab.

Before the event, confirm that the lab can process your selected film and discuss its fees, turnaround, and requirements for handing over used cameras. Decide who will collect the cameras and who will receive the photographs or scans.

If guests will keep their cameras as gifts, make that arrangement clear instead of suggesting that the planner will collect and process them. Include simple usage and collection instructions for the selected camera.

7. Send a concise inquiry

Use this brief to organize the information you already have:

Company or event: Your planning business and the occasion or group of occasions.
Estimated quantity: Total cameras, with quantities by design.
Dates: Event dates and required arrival dates.
Delivery: Country or region, with proposed batches if applicable.
Customization: Camera stickers, logo, color, packaging, film, exposures, and design assistance.
Samples: Existing sample or paid custom sample, and what you want to review.
Repeat order: Previous order reference and any changes.
Still to decide: The details you need help confirming.

If you need several designs or batches, summarize them in the message; detailed artwork requirements can be discussed during follow-up.
